How to Use Student Score Management System

Role-based guide for Super Admin, School Admin, Teacher, Student, and Parent usage in the current app version.

Quick Workflow

Super Admin dashboard shows system overview only (analytics and quick actions).

Use Add School page to create schools and school-admin accounts.

Use View Schools page to update schools, update admin accounts, and toggle operations.

School Admin configures settings, subjects, teachers, and students.

Teacher enters or uploads scores, then submits class results for approval.

School Admin approves/rejects submission; students/parents view only approved published results.

Super Admin Tasks

  • Dashboard: View school-level usage summary and key system numbers.
  • Add School: Create school profile and school-admin login in one flow.
  • View Schools: Edit school profile, update admin account, and toggle school operations ON/OFF.
  • Reports: Review issue reports from schools and users.

Access & Login

Login Only

Users do not self-sign-up. Accounts are created by admin workflows in the app.

Use Role Dashboard

After login, each role sees only allowed pages and actions for that role.

School Admin Handbook

Role summary: The school admin manages one school tenant. They handle setup, people, academics, communication, monitoring, and recovery for that school.

Can Do

  • Manage students, teachers, parents, subjects, timetable, and school settings.
  • Publish results, approve or reject submissions, and correct result records where allowed.
  • Send messages to students and teachers.
  • Review disputes, data requests, audits, analytics, and system health.
  • Run backups, restore checks, and disaster recovery drills.
  • Control school-specific operations and access state.

Cannot Do

  • Manage other schools.
  • Use super-admin-only global controls.
  • Bypass access restrictions or locked-school states.
  • Edit platform-wide settings for every tenant.

Recommended Setup Order

  • Open School Profile and Academic Settings to confirm school details, term/year, and access state.
  • Configure Class Subjects and Timetable.
  • Add Teachers and assign class/subject roles.
  • Add Students and confirm class placement.
  • Test Messages and then review Analytics/Data Integrity.
  • Take a Backup before major changes.

Teacher Tasks

  • Allocate Stream: For stream-based SS classes, assign stream before scoring.
  • Enter Scores: Use score page per student with strict max validation.
  • Upload CSV: Upload class score updates using in-app template only.
  • Submit for Approval: Class teacher submits only when all assigned subjects are complete.
  • Signature Required: Only class teacher submission for approval requires teacher signature.

CSV Upload (Critical Rules)

  • Use Template First: Always download the in-app CSV template before editing.
  • Required Columns: Student ID and Subject must exist and must match existing student records.
  • Class Access Check: Teacher can upload only for classes currently assigned to that teacher.
  • Published Lock: If a class is already published for the current term/year, upload is blocked.
  • Exam Mode Strictness: Combined mode accepts only Exam Score. Separate mode accepts only Objective and Theory.
  • Score Validation: Every test/exam value is validated against school limits (no negative scores, no values above maximum).
  • Atomic Save: Upload is all-or-nothing. If one row fails, no row is saved.
  • Blank Value Behavior: If a score field is blank, the system keeps current value for that student/subject field.
  • Summary Screen: After upload, check processed rows, updated students, and exact failure reason.
  • Error Rows Download: On failure, use "Download Error Rows CSV" to fix and retry quickly.

Results & Visibility

  • Publish Gate: Students/parents can view only approved and published class results.
  • Approval Stage: Teacher submission is reviewed by school admin before publication.
  • Term Navigation: Student and admin views can switch among published terms.
  • Operations Toggle: School-wide operation switches affect visibility/editing behavior.
  • View Tracking: Published result views are counted for monitoring.

Ranking & Positions

Ranking is automatic based on average marks and school configuration:

  • Class ranking supports SS stream-separated or together mode (as configured).
  • Tie handling uses same-score position behavior.
  • Per-subject positions are also calculated in published results.
  • Any score edit requires re-publish before students can see updated result.

Reporting Issues

  • Use the "Report Issue" page to submit technical problems.
  • Include role, page, action, and exact error message for faster fix.
  • Super admin reviews reports from the in-app report viewer page.
  • For CSV problems, attach the row details and validation message.

Frequently Asked Questions

Who creates user accounts in this system?
Super admin creates schools and school-admin accounts. School admin creates teacher/student records through admin workflows.
What score ranges are valid?
CA scores: 0 to school-configured CA slot maximum
Objective and Theory: 0 to school-configured maximums
Combined exam mode uses a single exam score with school-configured maximum
The system will validate and prevent invalid score entries.
How are grades calculated?
Grades are based on overall marks (tests + exams):
Grade bands and status bands are configured by each school admin in School Settings.
The system applies those configured thresholds automatically.
Why did my CSV upload fail on one row and nothing was saved?
CSV upload now uses atomic save for data integrity. This means one invalid row stops the upload and rolls back all pending changes. Fix the exact row shown in the upload summary and retry.
Can students view results before teacher publishes?
No. Student portal reads only published snapshots. If teacher edits scores after publish, class must be published again.
How do I reset a student's scores?
Go to "Enter Scores" for the student and submit new scores. The system will automatically update and recalculate grades.
